The tour has been especially designed and organized for the participants of the EAZA Annual Conference 2018.

The minimum number of participants required for this tour is 15. The maximum number of participants is 30.

GEAR & CLOTHING

In outdoor trips and activities it is probable to face variable weather conditions. In Lake Kerkini for the month September, the average temperature is 22°C. However during the day the temperature can reach up to 30°C. Therefore, we need to carefully choose what to wear.

For your own safety and comfort we recommend bringing with you:

• Thick socks for hiking

• Swimwear and a towel (for the hot baths)

TERMS & CONDITIONS

Prior to your reservation, please read the terms of participation (in accordance with the Presidential Decree 339/1996 of the EU Directive) in the excursion of Geopedia SCE to Lake Kerkini (Prefecture of Serres, Greece). Once you make a reservation with our company, you are considered to have agreed to the following terms:

1. Responsibilities of Geopedia SCE

Geopedia SCE offers its services as a mediator between the excursion's participant/customer and the various agencies used to organize the excursion (hotels, travel agencies, restaurants, etc.) as well as anyone else, for the smooth operation of each excursion program. The company does not exercise direct control over these organizations and consequently does not bear any liability in case of omissions, mistakes and organizational shortcomings coming from these third parties involved in the implementation of the excursion program. The company is not responsible for any irregularities in the execution of the excursion and any difficulties that arise from events that constitute situations of force majeure (wars, adverse weather conditions, strikes, storms, natural disasters, etc.). The company is not responsible for potential accidents, diseases due to climatic conditions, epidemics, poisoning, criminal acts, theft of items, loss of luggage or money or passports, luggage damage, etc. However, it is self-evident that both the conscientiousness and the responsibility of the company's people require that every possible effort is put, to address the above abnormalities in the best possible way and in order to best serve and facilitate the participant/customer.

2. Obligations - Customer Responsibilities

Each participant is responsible for obtaining and securing the travel documents (ID, passport, visas, certificates, etc.) required for his/her participation in an excursion. The safekeeping of any valuables that the traveller might carry with him/her (cameras, jewellery, objects of value etc.) during the trip is his/her own responsibility.

Participation in this group excursion requires social behaviour and therefore it is essential that participants comply with the program and the suggestions of escorts or local guides as well as their timely attendance at the sites for the various services of the program (transport, guided tours, excursions, meals, activities, etc.).

In the event of a participant's delay or inconsistency, he/she is not entitled to any compensation if he/she fails to attend an event and has no right to compensation or refund for services not rendered by fault of his/her own.

3. Accommodation

Villa Belles Hotel provides double, triple and quad rooms. The company alone, is responsible for the distribution of the rooms to the participants. Villa Belles hotel, with which our business cooperates, holds all legitimate valid operating permits required by state authorities.

4. Reservations

In order to secure any reservation for participation to the excursion with the company, participants are required to submit the registration form and to settle the payment of the full amount. Phone reservations, not followed by the timely settling of payment, are not binding to our company.

5. Children's participation and discounts

Participants to the tour must have reached the age of 18 or be accompanied by a guardian. Children 3-18 years old are given a 20% discount.

6. Implementation of the tour program

Geopedia SCE in good faith makes every possible effort to timely and accurately adhere to the program of the tour. In many cases, however, due to unpredictable factors and situations (e.g. weather conditions, political events, turbulence, etc.), it becomes necessary to change and diversify the program of the trip. Changing or modifying the program may occur either before or after the trip. Possible change of departure times from morning to afternoon or evening and vice versa or boarding time on buses for a road excursion is not considered a program change. Also probable changes in the distribution of participants in the accommodation rooms are not considered a change of program. In such cases participants will have to accept the changes.

In the rare and unlikely event of an unforeseen anomaly occurring during the excursion due to the above mentioned factors (wars, political unrest, strikes , weather conditions, etc.), the tour leader is entitled to modify  the program, aiming solely at the participants' security and the best possible execution of the program. In such unlikely cases, all additional costs incurred for the smooth running of the program (eg overnight stays, meals, transport) will be borne by the participants, as it becomes evident that it was impossible to predict the event.

7. Cancellation of a trip by Geopedia SCE

a) The company reserves the right to cancel the trip before departure, mainly due to force majeure (as mentioned above) and for security reasons. In the event of a trip cancellation, customers will be refunded the amount of money paid and our business is not liable for any other compensation.

b) The company reserves the right to cancel the trip due to the non-completion of the required minimum number of entries (15 persons), up to 10/08/2018. In the event of this cancellation, customers will be refunded the amount of money paid and our business is not liable for any other compensation.

8. Cancellation of reservation by the participant

Each participant has the right to cancel his/her participation in the tour.

Cancellations on the participant side must be made, in accordance with the good faith credit, with due respect to the obligations the company has towards other parties (hotels, means of transportation, etc.) for the organization of the trip and due to which it is bound by strong compensation clauses based on the agreements made prior to departure, and according to which it is obliged to refund other parties regardless whether or not the participant travels.

Cancellation is only by written notice to the company and is valid from the date of proven receipt.

If the cancellation is made until 10/08/2018, the amount of the deposit is refunded to the participant.

For cancellations from 11/08/2018, the company is entitled to withhold the full value of the tour.

These above deductions are applicable, no matter what the reason of the cancellation (health reasons, extraordinary professional obligations, and even force majeure). The right to participate may be transferred to another person, as long as that person fulfils the necessary conditions for the tour.

9. Insurance

The business does not cover any costs that occur during the trip in case of an accident or illness of the customer. This risk as well as the risk of charges from cancellations, can be prevented by the client by buying life, accident insurance etc. voluntarily and at his/her own expense from any insurance company. That is recommended by the company.

10. Settlement of disputes

The company promises to resolve with any good faith and intention, any dispute that may arise with participants. In the case, however, there is an unresolved dispute, Greek law is applicable and the courts of Athens are competent.
